Job Purpose:

 

The Document Controller is responsible for managing the company’s documents, ensuring their accuracy, quality, integrity, and accessibility. The Document Controller will also maintain an efficient filing and tracking system for all documents, ensuring that they are easily retrievable and accessible to authorized personnel.

 

Duties and Responsibilities:

 

• Develop and implement document control procedures, policies, and guidelines to ensure that all documents are accurate, complete, and up to date.

• Create, manage and maintain electronic and physical filing systems, ensuring that all documents are properly classified, indexed, and easily retrievable.

• Provide support for document management software, including configuring, testing, and training new users.

• Manage the distribution of documents to internal and external stakeholders, ensuring that all documents are transmitted in a timely and accurate manner.

• Collaborate with other departments to ensure that all documentation is created, updated, and distributed in accordance with company standards and regulatory requirements.

• Perform periodic audits of document management procedures and systems to ensure that they meet quality, security, and compliance standards.

• Participate in the development of new document control systems, processes, and technologies to improve the efficiency and effectiveness of the document control function.

• Maintain confidentiality and security of all company documents and information.

• Perform other duties as assigned by the Manager.

 

Qualifications:

 

• Bachelor's degree in a relevant field, such as Information Science or Library Science.

• 2+ years of experience in document management or related field.

• Knowledge of document management systems, procedures, and technologies.

• Excellent organizational, analytical, and problem-solving skills.

• Strong communication and interpersonal skills.

• Ability to work independently and as part of a team.

• Attention to detail and accuracy.

• Proficiency in Microsoft Office Suite.

 

Physical Demands:

 

The Document Controller may need to sit or stand for extended periods of time and may be required to lift up to 25 pounds.
