Job Title: Executive Secretary

 

Introduction:

 

We are seeking a skilled Executive Secretary to provide high-level administrative support to our executives. The Executive Secretary will manage the day-to-day operations of the executive's office and ensure that all administrative tasks are completed efficiently and effectively. The successful candidate will have excellent communication skills, strong attention to detail, and the ability to multitask in a fast-paced environment.

 

Key Responsibilities:

 

     Manage the executive's schedule and coordinate all appointments, meetings, and travel arrangements.

     Screen and prioritize incoming phone calls, emails, and correspondence and respond as necessary.

     Prepare and edit correspondence, reports, and presentations.

     Maintain a filing system for all executive office documents and ensure that all files are up to date.

     Conduct research and compile data as needed for special projects or reports.

     Provide support for other administrative staff as needed.

     Manage special projects as assigned by the executive.

 

Requirements:

 

     Bachelor's degree in business administration, communications, or a related field.

     Minimum of 5 years of experience as an executive secretary or in a similar administrative support role.

     Excellent organizational and time management skills.

     Strong attention to detail and accuracy.

     Proficiency with Microsoft Office Suite, including Word, Excel, and PowerPoint.

     Excellent communication and interpersonal skills.

     Ability to work independently and manage multiple tasks and projects simultaneously.

     Professional and courteous demeanour.
